Last year when I began my search for jobs I would at times had to ask my sister if the mails that I was writing were right, Was the format correct ? Was I missing out something and that's the reason I wasn't hearing back that often ? At times I would find myself in a situation where I had to deny a job opportunity and I wasn't sure how do I go about that because I did not wanted to make myself look unprofessional or way to amateur.
Just to avoid all this I had to take time and frame my e-mails. This made me think that having a draft handy is always a better option rather than always sitting and taking those few minutes to frame a new one and into this process I realised that there are few formats which pretty remain same for all the situations with just few changes requiring to be made and I'll. e good to go.
NOTE : It is important that you adjust your resume and mail according to the job you are applying for as it increases the chances of your profile getting shortlisted.

Starting with the most basic one :
1. Job Vacancy Enquiry
Dear Sir/Ma'am,
I am writing to you in order to enquire for openings in your esteemed organisation.
My highest qualification is DEGREE, UNIVERSITY (YEAR). {If you are a fresher then mention about your college projects or any online courses or internships that are relevant to the job profile you are applying for in just about two lines so it can be easy for the reader to analyse your profile}
I am keenly looking forward for opportunities that can help me implement my knowledge and put to use my skillset for mutual benefit and growth.
I have attached my résumé for your consideration. Looking forward to an opportunity to discuss my potential to contribute to your team and organisation. Thank you for your valuable time.

2. Replying to a job offer :
1. Accepting a job offer :
Dear (Name of the person who emailed you the job offer),
Thank you for your offer of (Job Profile) at (Company Name). I am delighted to formally accept the offer, and I am very much looking forward to joining the team.
I can confirm that my starting date of employment will be dd/mm/yyyy. If there is any additional information you need prior to this date, please let me know.
Once again, thank you very much for the opportunity, and I look forward to working with you.

2. Rejecting a job offer :
Dear (Name of the person who emailed you the job offer),
Thank you for your offer of (Job Profile) at (Company Name). After a lot of thought and consideration I have decided to not to accept the offer as (reason if willing to mention; you can also use or refer below mentioned statement under reasons of rejection).
Thanks a lot for your time and effort. Wish you the best in the search of a suitable candidate for the role.

Reasons of rejection :
Less CTC - I have decided to not to accept the offer as the CTC offered is not sufficient enough to weigh out my financial expenses.
Irrelevant to your career goals - I have decided to not to accept the offer as it demands to cultivate a skillset overtime that does not align with my career goals.
Another better opportunity - I have decided to not to accept the offer as I have come across a more better opportunity.
3. Leave Application :

Dear (Manager/ Team Leader/ HR),
I hope this mail finds you well. I am writing to request you to grant me leave from ___ to ___ as (mention the reason, the level detail has to be sufficient enough to make the reader understand the gravity of the situation).
In my absence XYZ would be the point of contact for any kind of escalations. I hope you will consider my request and approve it at the earliest.

4. Resignation :
Dear Employer,
This email is to notify you that I am resigning from my position here as Designation, effective date from which you will stop working.
Thank you for all the opportunities you have provided. I have enjoyed my time working for this company and have learned a lot. I am also grateful for your kindness and encouragement as well as the kindness of my other colleagues.
Please let me know if I can do anything to help make this transition easier. In the future, you can always contact me on my email abc@zmail.com .

Last but not the least just something about which I had been very ignorant back in my college days :

To all the fresh graduates don't ever forget to suggest juniors to try out for as many internships in all the fields they feel they have an interest in. These internships will help have some clarity because not always will you know what you like and what suits you better but knowing what you don't like will also help you propagate yourself in right direction rather than just always letting life take you for a toss.
